The short answer: budget $20–$30 per person per month. ChatGPT Business and Claude Team both run $20/user/month on annual billing ($25 monthly). Microsoft 365 Copilot and Gemini Enterprise are $30/user/month. A 5-person team on annual billing costs about $1,200/year for standard seats; a 15-person team about $3,600/year. Put one or two power users on a $100/month premium seat instead of upgrading everyone.

The premium-seat strategy: mix, don't blanket-upgrade

Premium seats ($100/month on annual billing, $125 monthly) exist for power users — the developer running a coding agent all day, the person processing huge documents constantly. Most people on a team never come close to needing one. The smart pattern:

  • Most seats standard at $20/month — covers everyday writing, research, analysis.
  • One or two premium seats at $100/month for your heaviest users.
  • A 15-person team with 13 standard seats and 2 premium seats on ChatGPT Business: 13 × $20 + 2 × $100 = $460/month ($5,520/year) — versus $1,500/month ($18,000/year) if you'd given everyone premium.

Don't blanket-upgrade the whole team to premium. It's the single most common way small teams overpay for AI.
